KM in Practice

Strategic Planning

All too often, organizations conceive of Knowledge Management as an operational issue, as a toolbox of techniques and Information Technology solutions. This view demotes its strategic aspects and results in failures, since KM becomes an organizational practice without a clear purpose of existence. As a consequence, the goal of strategic planning is to set high level direction for the whole effort by explicitly declaring its purpose and goals, in order to guide the tasks of the next phases.

Developing successful and targeted knowledge strategies required first of all aligning them with the overall business goals and pursuits. As for their interrelation, the business and the Knowledge Management strategy should mutually drive each other, with the business strategy maintaining the leading role.

At this point, it has to be made clear that this strategic planning process is not a one-off exercise, but an iterative one, since the only constant in business is change.

The mission statement is a brief description of KM’s fundamental purpose for the organization. In this sense, the mission statement has to broadly describe an organization’s present knowledge capabilities, focus, and perspective.

Determining your desired knowledge destination is of crucial importance, in order to develop and implement successful KM strategies and initiatives. The vision statement supports exactly the above purpose by answering the question Where do we want to go?”. While the vision does not tell you how you’re going to get there, it does set the direction for the entire effort, being the groundwork for the strategic planning process. In simple words, the vision is comprised of the strategic goals that the organization has to pursue in order to manage its knowledge in a value adding way.

While determining your desired knowledge destination is of crucial importance, developing the strategy is considered as the uppermost act of strategic planning, since it is about deciding How are we going to get there?”, or in other words “How are we going to achieve the KM vision?”. Strategy intends to operationalize the vision statement through the specification of the exact actions that will lead the organization to the desired condition.

A cornerstone for the successful implementation of any strategic planning is its communication to those who have to execute it. Managers always talk to their stuff about being ahead or behind the plan but often neglect to explain what this plan is about. On the other hand, others make rhetorical speeches about the mission and the values of the organization failing to offer a sense of destination and a course of action to employees. Both behaviors lead to a lack of employee engagement and commitment which is major jeopardy for any organizational effort.
